Stage 1 — Specify before you quote
A quotation is only as good as the specification behind it. Before asking for price, define target quantity, destination country, packaging format, certification requirements and delivery window. A photograph is not a specification; dimensions, material and intended use are.
Stage 2 — Compare quotations on the same basis
Two quotations are not comparable unless they use the same Incoterm, the same packaging and the same certification scope. Ask each supplier for FOB pricing with tooling shown as a separate line, MOQ per SKU, and the freight estimate to your port. If a quotation arrives without those, it is not a quotation.
Stage 3 — Approve a real production sample
A showroom sample is not what will arrive. For existing references, a stock sample is representative. For new tooling, insist on a pre-production sample from the actual tool, so you approve the item that will be produced rather than a hand-finished copy. Sample cost is normally credited against the first order.
Stage 4 — Control quality inside the factory
The cheapest place to find a defect is at the machine, not at the port. Require incoming material checks, in-process checks on a stated interval with photographic records, and a final pack check. Third-party pre-shipment inspection by SGS, Intertek or TUV on your nominated purchase order is worth the cost on a first order.
Stage 5 — Ship with correct documentation
You need a commercial invoice in your format, a packing list, the bill of lading, certificates of origin where your tariff treatment requires them, and test reports for the destination market. Ask for drafts before shipment. Demurrage caused by a documentation error is one of the most common avoidable costs in importing.
How are first orders paid?
Standard terms are 30% deposit by telegraphic transfer with the balance against a copy of the bill of lading. Irrevocable L/C at sight is accepted. Open account with credit terms becomes available after three settled orders.
